Credit Card Processing

Credentials:

  • User name: bdem2476 - must be lower case
  • Password: xxxxxxx (this changes over time - check with Vicki)

Select “Login”, or hit enter key

Chase will open to the “New Order – Auth” screen

Customer Already Set Up In Profile Management

  • Select “Search Profiles”
  • Type customer number in the “Profile ID” box
  • Select “Search”
  • Select customer record (toggle on radio button)
  • Select “Use Profile”
  • Type in dollar amount – overwrite any amount still showing in this field.
  • Scroll down: DO NOT HIT ENTER, THIS WILL NOT PROCESS THE DEPOSIT INTO DEMPSEY’S BANK ACCOUNT.
  • Select: “Auth and Capture”
  • If you get a pop-up screen telling you this is a purchasing card, accept the message.
  • Chase will process the amount, and give you either a declined or approved screen.
  • If approved, print a receipt and attach to the customer’s invoice.
  • Write amount charged and approval # on pick slip.

Refunds

To process a refund on a customer’s card:

  • Move the cursor on top of “New Order” in the top left of the screen, a drop down box will appear.
  • Select “Credit”. Click “Search Profiles”, type customer account number in “Profile ID”.
  • Select customer record (toggle on radio button). Fill in amount, click “Credit”.

Customer NOT Set Up In Profile Management

To process a credit card without setting up a customer account:

  • Type in:    Card number
  • Expiry date
  • Amount of sale
  • Customer name
  • Order ID - use customer number, “Misccad”, or “Miscsale”.
  •  Scroll down
  • DO NOT HIT ENTER, THIS WILL NOT PROCESS THE DEPOSIT INTO DEMPSEY’S BANK ACCOUNT.
  • Select “Auth and Capture” at the bottom of the screen
  • If you get a pop-up screen telling you this is a purchasing card, accept the message.
  • Chase will process the amount, and give you either a declined or approved screen.
  • If approved, print a receipt and attach to the customer’s invoice.
  • Write amount charged and approval # on pick slip.

Troubleshooting - If You Hit The Enter Key

  • Open Batch
  • Unselect Date Range
  • Search

All unprocessed transactions will show: move the cursor over the word “mark” – click and this will change to “unmark” – SETTLE to process the transaction or hit VOID to delete it.

How To Set Up Customer Account in CHASE

  • NEW ORDER
  • SEARCH PROFILES (enter customer number)
  • If not found, select NEW PROFILE
  • De-select “Use next available profile ID”
  • Type in:    Order ID - use customer number
  • Customer name
  • Card number
  • Expiry date
  •  Select “Use Order # as Profile ID
  • ADD

Process as usual

Pre-authorizing Credit Cards

Try NOT to use this if you don’t have to – it can screw up the available funds on the customer’s credit card, and some of our customers work with a very small limit.

Process as a regular credit card, except: use an estimated amount that is HIGHER than the total including taxes and freight, and select “Auth” or hit the ENTER key (i.e. do NOT use the "Auth and Capture" button).

Note the pre-authorization number on the pick slip for later.

After the invoice has been completed, go back into Chase:

  • Toggle mouse over “New Order”, and select “Force”.
  • Select “Search Profiles”, fill in customer number
  • Fill in amount to be processed, this must be lesser than the pre-authorized amount.
  • Fill in the original authorization code in the “Prior Auth Approval Code”.
  • Select “Force and Capture.”
  • Print out a copy for the customer.
